The short answer

What is hunting outfitter software?

Hunting outfitter software is the system an outfit uses to take bookings and deposits, collect a waiver and license from every hunter, manage daily capacity, lodging and tags, and keep the books. HuntReserve, with a marketing team built in, is that system plus the marketing, for hunting outfitters, guides, lodges and fishing charters.

Buyer's guide

What to look for, what it costs and how to switch, written for people who run hunts. Use it to judge any hunting outfitter software on the market, ours included.

What should hunting outfitter software do?

It should carry a hunt from the first inquiry to the harvest report without anyone retyping anything. A booking calendar is the easy part. The real work of an outfit is deciding who gets to book, getting paperwork from every member of the party, collecting balances and handling tags once the hunt is over.

Use this list as a scorecard. If a tool covers only half of it, you will end up running it next to spreadsheets and paper waivers, which is what you were trying to leave behind.

  • Booking on your own website: a Book button or an embedded booking page, with deposits paid into your own Stripe account.
  • Screening: approve private-land or high-end hunters first, then send each one a one-time code to book.
  • Daily capacity per hunt type (guns, blinds, stands or seats), so the calendar stops taking bookings at full.
  • Paperwork from every hunter, not just the organizer: registration, an e-signed waiver, a guardian co-sign for anyone under 18, and a license upload checked against the name on the waiver.
  • Money: balance invoices that send themselves, optional per-hunter payment links, refunds, cash and checks recorded, and QuickBooks Online sync.
  • Lodging: rooms and beds with nightly capacity, priced into the same booking as the hunt.
  • After the hunt: a harvest log, a tag register and state harvest reports pre-filled with the deadline counting down.
  • Offline capture for camps with no signal, plus reminders by email and text that go out without you.

Hold the full HuntReserve feature list up against your own season before you talk to any vendor.

How is outfitter software different from a tour-booking tool?

A tour-booking tool sells time slots to anyone with a card; outfitter software decides who may book, then makes sure every hunter in the party is signed, licensed and paid before they reach camp. The gap shows up fastest on private-land hunts, multi-day camps and anything involving tags.

Tour tools are built for volume, and they do it well: walk-up bookings, resellers, fast check-in. The trouble is that a hunt is rarely one buyer. The person who paid is often one of six shooters, and you need a signed waiver and a valid license from all six.

How much does hunting outfitter software cost?

Expect one of three pricing models: a flat monthly fee, a booking fee taken from each online payment, or a marketplace commission on bookings the platform brings you. Card processing comes on top of all three.

Here is how they compare, using prices each company publishes on its own website (checked October 22, 2026):

ModelHow you payExamples from published pricing
Flat monthly feeThe same bill in a slow month as in a busy oneHuntDocs lists $125/mo or $1,250/yr. HuntReserve runs $159 to $899/mo, website included.
Booking feeA percentage of each online bookingHuntReserve Opening Day: 2% on online card bookings. FareHarbor: no subscription, guests pay a booking fee.
Marketplace commissionA share of bookings on the marketplaceMallard Bay: a no-subscription plan with a 10% marketplace fee, or paid plans at $199 and $399/mo with 0% booking fee.

Run last season's numbers through each model. For example, on $60,000 in online card bookings, a 2% fee comes to $1,200 for the year and a 10% commission comes to $6,000, while a flat fee stays the same however much you book. Then add card processing at Stripe's published rates. With HuntReserve that runs through your own Stripe account, and you decide whether hunters cover it.

Ask every vendor three things: what comes off each booking, whether the website sits on your own domain, and what is included versus sold as an add-on.

Which HuntReserve package fits your outfit?

Pick by how much marketing help you want, since every package includes the full platform and a custom website on your own domain.

Opening Day ($159/mo) suits an outfit that already books out from repeat clients and referrals. You get every feature, a website of up to 5 pages with a contact form, tracking and a monthly report, with a 2% fee on online card bookings.

Full Draw ($329/mo) is for outfits that need more hunters. It adds local SEO, Google Ads and Meta ads management, AI search optimization, monthly content, a Google Business Profile management and a website of up to 10 pages, with no booking fee. The $170 difference equals 2% of $8,500, so once your online card bookings pass about $8,500 a month, the fee you stop paying covers the upgrade on its own.

Trophy Class ($899/mo) is everything done for you: a website of up to 25 pages, full ads, social posting and one strategist assigned to your outfit, also with no booking fee. On every package, ad spend is paid directly to Google and Meta.

What should you ask in a hunting outfitter software demo?

Ask the vendor to run one of your real hunts, start to finish, instead of the canned demo. A sales walkthrough always looks smooth; your own six-man party with a teenager, a late balance and a cancelled morning tells you far more.

Bring a short list and make them show each answer on screen:

  • Book a party of six, then show me where each shooter signs and uploads a license.
  • Cancel one date and show me who gets offered the spot.
  • Show me a balance that is late and the reminder the hunter receives.
  • Log a harvest and show me the tag and the state report it creates.
  • Turn off the internet and capture a waiver, then show me it syncing.

If a step needs a workaround, a second app or a spreadsheet, write it down. Those gaps are what you will live with all season.

How do you switch hunting outfitter software without losing a season?

Switch between seasons when you can, let hunts already booked finish where they are, and start new bookings in the new system. Most of the work is gathering what you already know about your own hunts.

  • List every hunt type you sell with its price, deposit rule, daily limit and add-ons.
  • Pull together your waiver text and the documents you require from hunters.
  • Connect your own Stripe account, so deposits land with you and not with the software company.
  • Hand over your customer list. With HuntReserve, we import your customers and set up your hunts, waivers and payments with you.
  • Put the new Book button or embedded booking page on your site, or launch the new website built on your domain.

Hunters who already hold a Verified Hunter Pass (ID, hunting license and hunter-safety card checked once) can share it with any outfitter on HuntReserve, so they skip the uploads with you.

Where does marketing fit with hunting outfitter software?

Software keeps the season organized; marketing decides how full it gets. A booking page on its own waits for hunters to show up, so the question is who is sending them.

With HuntReserve, that is our marketing partner, a leading national agency founded in 2006 with offices in Florida and New Jersey that, by its own count, has worked with more than 1,100 businesses. On Full Draw and Trophy Class they run local SEO around your area and season dates, Google and Meta ads, and AI search work so assistants like ChatGPT can describe and recommend your outfit by name.

The software feeds the marketing too. After each hunt, hunters rate it: the four- and five-star ratings go to your Google listing, while anything less reaches you in private. Because hunters book on your own site, every search, review and returning client builds your name instead of someone else's listing.

Who is HuntReserve not the right fit for?

HuntReserve is not a marketplace, so if you want a platform that sends you hunters from its own directory, Mallard Bay does that and we don't. Our Mallard Bay comparison lays out both sides.

If you sell high-volume walk-up tours through resellers, a tour-and-activity tool like FareHarbor was built for that scale. And if you only need waivers and group paperwork at the lowest flat price and handle your own marketing, a paperwork-first tool like HuntDocs may cost less.

HuntReserve fits outfitters who want booking, paperwork and a marketing team on one monthly bill, with hunters booking on the outfit's own website. If that sounds like you, request a call and we will walk through it with your own hunts.

Questions

What outfitters ask us

Can I keep my current website?

Yes. Add a Book button to your site, or embed the booking page in it, and hunters book without leaving. Every package also includes a custom website on your own domain (up to 5, 10 or 25 pages, depending on the package), so you can replace an old site whenever you are ready.

Does it work at camp without cell service?

Yes. Open Camp Mode on a tablet once while you have signal. After that, waivers, guardian signatures and license photos are captured with no connection and sync on their own when you are back in range.

Can each hunter in a group pay their own share?

Yes, if you turn it on. Every hunter in the party gets a personal payment link, so the lead hunter isn't fronting the whole trip. Leave it off and the organizer pays as usual. Either way, balances are invoiced before the hunt and paid into your Stripe.

Who files the state harvest report?

You do, in about a minute. When a harvest is logged, HuntReserve pre-fills the state report with copy-ready fields and a countdown to the deadline. Florida alligator, deer and turkey templates are built in. It does not submit the report to the state for you.

Is there a phone app to download?

No download is needed. HuntReserve runs in the phone's web browser, so hunters register, sign the waiver and upload their license from a link, and you and your guides run the outfit from any phone, tablet or computer.

Can I see HuntReserve before I sign up?

Yes. Request a call and we walk you through HuntReserve using your own hunts, prices and waiver, then set you up. There is no self-serve trial account; the walkthrough is built around your outfit instead.

Does it work for fishing charters and lodges too?

Yes. Trips, seats per boat, rooms and beds, deposits, waivers and reviews work the same way. See the pages for fishing charters and hunting lodges for what matters most to each.

What does card processing cost?

Card processing is Stripe's standard rate, charged in your own Stripe account. It is separate from the 2% booking fee on Opening Day, and you choose whether you absorb it or pass it on to hunters.
