Hog hunting outfitter software for helicopter seats, night hunts and big groups

Hogs don't have a season, so your booking desk never closes. HuntReserve books every seat and time slot, collects every waiver and license, and takes the money, then puts your outfit in front of hunters searching every month of the year.

We call you, show you HuntReserve with your own hunts, and set you up.

The short answer

What is hog hunting outfitter software?

Hog hunting outfitter software books helicopter seats, thermal night hunts and day hunts by time slot, sells add-ons like extra hours and processing, and collects waivers and licenses from every shooter. HuntReserve is booking, waiver, payment and marketing software for hunting outfitters, guides, lodges and fishing charters, with a marketing team built in.

Built for how you run

The hard parts of the job, handled for hog outfitters

Generic booking tools treat a hunt like a kayak rental. Here are the parts of the job they get wrong for hog outfitters, and how HuntReserve handles each one.

Seats and time slots

Sell helicopter seats, night hunts and day hunts with their own capacity and time slots.

Groups and add-ons

Packages with add-ons for extra hours, meat processing and lodging, priced automatically.

Waivers for every shooter

Every hunter signs and uploads a license before the hunt, with guardians co-signing for kids.

Demand all year

Hog hunting doesn't have an off-season, so your marketing shouldn't either.

How it works

How a booking works for hog outfitters

From the first search to the review after the hunt, here's what you and your hunters actually do.

app.huntreserve.com
Booking page with hunts and prices

1. They find you and book

Hunters land on your website from Google, AI search or an ad, pick a hunt, a date and party size, and pay a deposit to your Stripe. For private hunts you approve them first and they book with a one-time code.

Check-In Board showing each party's progress

2. Every hunter gets ready on their own

The lead hunter shares a link with the party. Each hunter registers, signs your waiver (with a parent co-signing for kids) and uploads their license, which is read and checked against their name. The Check-In Board shows who is still missing something, with one-click reminders.

Invoices with deposits and balances

3. The money collects itself

Balances are invoiced automatically before the hunt, with reminders if they're late. If you turn it on, each hunter pays their own share. Payments, refunds and expenses flow into QuickBooks.

Base Camp dashboard with today's hunts and weather

4. Hunt day and after

Base Camp shows today's parties, the weather and river levels. Camp Mode signs late paperwork with no signal. After the hunt, log the harvest, file tag reports, track processing, and collect each hunter's feedback and photos.

Buyer's guide

What to look for when you pick software for a hog operation, from the first helicopter seat of the year to the last thermal hunt in December.

What does hog hunting outfitter software need to handle?

It needs to sell several very different hunts from one calendar, each with its own seats, hours and price. A typical hog outfit runs a morning helicopter flight with a few seats, a ground hunt over feeders in the afternoon and a thermal hunt after dark, sometimes all on the same Saturday.

Generic booking tools give you one product with one capacity. Good hog hunting outfitter software lets every hunt type stand on its own: the chopper stops selling when the seats are gone, while the night hunt still has room. Then it gets the paperwork and payment done before anyone drives out to the ranch.

  • Separate daily capacity and time slots for helicopter, night and day hunts
  • Add-ons for extra hours, processing and lodging, priced into the booking
  • Paperwork from each shooter: a signed release, a license photo and a parent's signature for minors
  • Deposits up front and balances invoiced before the hunt
  • Marketing that keeps running in July, not just November

How do helicopter seats, thermal night hunts and day hunts share one calendar?

Give the chopper, the thermal hunt and the day hunt separate limits and start times, and the booking page closes a slot the moment it fills. You decide how many seats the helicopter holds, how many shooters your thermal guide can take out at night and how many stands or blinds the day hunt covers.

The Hunt Calendar shows every day with how full each hunt type is against its limit, plus blackout days for maintenance or a private group. Field conditions sit on your Base Camp dashboard: wind, temperature, pressure trend, sunrise and sunset, and moon phase, which matters when you're planning a night hunt.

If a group drops a chopper seat, the next name on the waitlist gets a link that's good for 24 hours to grab it. For a quiet Tuesday, Open Spots pushes the opening to hunters you've already approved.

How should add-ons work for extra hours, processing and lodging?

Add-ons should be picked by the hunter at booking and priced into the total automatically. Hog hunters buy extras more than almost any other client: another hour on the helicopter, a second night out with the thermal guide, meat processing, a bunkhouse bed.

In HuntReserve each add-on is set up once with its price and synced to your own Stripe. The hunter sees the total change as they choose. Lodging works the same way: list the bunkhouse beds and cabins with what each holds per night and what it costs, and the stay books right next to the hunt. An occupancy grid keeps two parties out of the same room.

After the hunt, the processing tracker follows the meat from your cooler to the processor and back. Your client checks progress on a status page and hears from you by text or email as each stage clears.

How do waivers work for big groups, kids and first-timers?

Every shooter signs their own waiver and uploads their license from their phone before the hunt, so nobody fills out paper at the tailgate. The lead hunter shares one link with the group, from a bachelor party of ten to a father bringing two teenage boys.

A teenager's release carries a parent's signature as well, both on one document. When a hunter uploads a driver's license, HuntReserve reads it and checks the name against the waiver signature, and flags blurry photos or expired cards. On the Check-In Board, missing pieces show up by name, and one click nudges that hunter.

License rules for hog hunting differ by state. If you run hunts in Texas, check Texas Parks and Wildlife hunting for what your hunters need, then make those documents required in your settings.

How much does hog hunting outfitter software cost?

Plans run from $159 to $899 per month. All three carry the whole platform plus a website built on your domain; what changes is the amount of marketing and whether a booking fee applies.

Pricing models across the industry come in three shapes: a flat monthly fee, a fee taken from each booking, or a marketplace commission on hunters the marketplace sends you. On a year-round hog operation with steady weekly bookings, a per-booking fee adds up month after month, so it's worth doing the math on your own numbers.

Stripe charges its normal card rate inside your account; pass it to the hunter or absorb it, your call. Google and Meta bill you directly for any ad budget.

Why does a hog outfit need marketing every month?

Because hunters search for hog hunts all year, and an outfit that only advertises in deer season leaves the summer calendar empty. The search table on this page shows the demand never really drops off.

On the Full Draw or Trophy Class plan, our marketing team handles local search, AI answers and paid Google and Meta campaigns built around your ranch, your towns and your hunt types, so a hunter searching for a helicopter hunt in your county finds your site, not a listing. After each hunt, hunters rate it privately and share their photos.

Who is HuntReserve not a fit for?

If you want a marketplace that sends you hunters and takes a commission, HuntReserve isn't that. We grow your own website and your own Google presence. It also runs in the phone's browser rather than as a separate app download. If you run a mixed operation, the hub page shows how the same account covers deer, turkey or a lodge alongside your hog hunts.

Questions

What outfitters ask us

Can a bachelor party split the bill per shooter?

Yes, as an option. Switch on per-shooter payments and the organizer stops covering ten helicopter seats on one card. Each man pays his part by his own link, and the organizer can still settle for everybody if the group prefers it that way.

Does it work at a ranch with no cell signal?

Yes. Load Camp Mode on a tablet while you still have a connection. After that, releases, parent signatures and license pictures save offline and upload once the tablet finds a signal again, so a walk-up shooter still signs before heading to the feeders.

Can I screen hunters before they book a private ranch hunt?

Yes. Switch that hunt to approve-before-book. Inquiries land on your board, you approve the hunters you want, and each one receives a one-time booking code. Nobody grabs a spot on your lease that you didn't offer.

Do I have to replace the website I have?

Yes. Drop a Book button onto the site you already have, or embed the booking page inside it. A new site on your own domain comes with every plan too, if yours is overdue for a rebuild.

Will it send reminders before a night hunt?

Yes. Payment-due notes, nudges about missing forms, a packing list and a day-before message go out by email and text on the timing you pick. Thermal hunters get the meet time and gate code without you phoning each one at supper.

How does switching to hog hunting outfitter software work?

We get on the phone, look at how you book today, and set up your helicopter, night and day hunts, add-ons, waivers and payments using your real prices. Your existing customer list comes over too. Request a call to start.

Does HuntReserve track hog harvests?

Yes. The Harvest Log records each hunt's take by location and guide, and season totals add up on their own. Property maps let you pin where hogs fell against your feeders and stands, which helps when a landowner asks how the pressure is working.
