The short answer

What is big game outfitter software?

Big game outfitter software books multi-day elk, mule deer and bear hunts, screens clients, tracks each hunter's tag, and collects large deposits, balances and trophy fees. HuntReserve is booking, waiver, payment and marketing software for hunting outfitters, guides, lodges and fishing charters, with a marketing team built in and paperwork that still works in a backcountry camp.

The hard parts of the job, handled for big game outfitters

Generic booking tools treat a hunt like a kayak rental. Here are the parts of the job they get wrong for big game outfitters, and how HuntReserve handles each one.

Tags and draws

Track each client's tag, assign it to the hunt and log the harvest against it.

Large deposits and balances

Deposit schedules, balances invoiced before the hunt, and trophy fees as add-ons.

Multi-day camps

Lodging, meals and guides on each booking, with Camp Mode for paperwork in the backcountry.

Screened clients

Approve every hunter before they can book, and check licenses before they travel.

How it works

How a booking works for big game outfitters

From the first search to the review after the hunt, here's what you and your hunters actually do.

app.huntreserve.com
Booking page with hunts and prices

1. They find you and book

Hunters land on your website from Google, AI search or an ad, pick a hunt, a date and party size, and pay a deposit to your Stripe. For private hunts you approve them first and they book with a one-time code.

Check-In Board showing each party's progress

2. Every hunter gets ready on their own

The lead hunter shares a link with the party. Each hunter registers, signs your waiver (with a parent co-signing for kids) and uploads their license, which is read and checked against their name. The Check-In Board shows who is still missing something, with one-click reminders.

Invoices with deposits and balances

3. The money collects itself

Balances are invoiced automatically before the hunt, with reminders if they're late. If you turn it on, each hunter pays their own share. Payments, refunds and expenses flow into QuickBooks.

4. Hunt day and after

Base Camp shows today's parties, the weather and river levels. Camp Mode signs late paperwork with no signal. After the hunt, log the harvest, file tag reports, track processing, and collect each hunter's feedback and photos.

Buyer's guide

What a western or northern big game operation should demand from its booking system, from an inquiry in March to the cape leaving camp in October, and the monthly price.

What should big game outfitter software handle?

It needs to cover a five-to-ten-day hunt that costs real money, involves a tag the client may or may not hold yet, and ends far from cell service. That is a different job from selling a two-hour tour, and it is why tour-booking tools and spreadsheets tend to break down by the second season.

The core list for an elk, mule deer or bear operation looks like this:

  • An inquiry board and an approval step, so only hunters you've vetted can put down a deposit
  • Packages priced per hunter or flat, with guide ratios, lodging and meals spelled out
  • Deposit schedules, automatic balance invoices and trophy fees added after the hunt
  • A register of every client's tag, tied to their booking and their harvest
  • Waivers and license checks done before hunters fly in, and Camp Mode for anything signed at the trailhead
  • Tracking for capes, meat, skulls and mounts on their way out of camp

If a system can't do most of that, you'll end up running the season in two places, and that's where deposits and tags get lost.

How do you screen big game clients before they book?

You approve them first, then let them book. A website inquiry lands on your Inquiries board with the species, dates and party size. You talk with the hunter, decide whether they're a fit for your terrain and your camp, and approve them. Each approved hunter gets a one-time code that unlocks the booking page.

That keeps a premium, week-long hunt from being booked by someone who has never hiked above timberline. It also lets AI quote drafts help on busy weeks: the Draft reply button reads the inquiry, chooses the matching package, prices it at your rates and writes a response for you to edit. Nothing goes out unless you send it.

Before travel, the license scan reads each hunter's driver's license and matches the name to the waiver they signed, flagging blurry or expired cards so nobody shows up at the airport with a problem.

How should big game outfitter software track tags and draws?

It should keep a tag register tied to each booking. Log the client's tag when they have it, assign it to their hunt, and log the harvest against it. When the harvest is in, any state report HuntReserve has a template for is pre-filled with a deadline countdown, and you submit it to the state yourself.

Draw states make the calendar messy. In Colorado, for example, many elk and mule deer licenses come through the draw, and Colorado Parks and Wildlife publishes the rules each year. When a client's draw result changes the plan, refunds go back to the card in one click, and the open dates are offered down your waitlist, each hunter getting a 24-hour window to accept.

Over-the-counter and landowner tags work the same way in the register. The software keeps the record straight; the licensing rules always come from the state.

How do large deposits, balances and trophy fees work?

The deposit is charged at booking. Ahead of the hunt, HuntReserve sends the balance invoice on its own, with an emailed pay link. Late balances get reminders, so you're not the one making awkward calls in August.

Trophy fees ride on the booking as add-ons. Post the bull or bear fee once the animal is down, and the remaining balance recalculates. Payments land in your own Stripe, and Stripe's standard card rate applies; you choose whether the hunter covers it. A check handed over in camp, cash, or a Venmo or Zelle transfer is logged on that same invoice, so the books match what happened at the lodge.

For groups, optional per-hunter payment links mean the friend who organized the elk trip isn't carrying four deposits on his card. Customers, invoices, refunds and expenses flow into QuickBooks Online, and profit and loss breaks out by month and by hunt, from horse feed to guide pay.

Does it work in a backcountry camp with no signal?

Yes, for the paperwork that matters. Set up Camp Mode on a tablet before you leave town. In a wall-tent camp or at a trailhead, it captures waivers, guardian signatures for younger hunters and license photos with no connection, and everything syncs when you're back in range.

Before the pack-in, Base Camp shows a 16-day forecast, wind, barometric trend, first and last light and the moon for your area. Lodging works for both the lodge and tent camps: set up each unit with its beds and nightly capacity, and the occupancy grid shows which nights are full.

If your hunts run on National Forest land, you likely operate under a Forest Service outfitting and guiding permit. HuntReserve doesn't manage that permit, but the Harvest Log produces clean numbers by guide and area when you need them.

What does big game outfitter software cost?

Pricing runs from $159 to $899 a month across three tiers, and every tier covers the entire platform plus a custom website on your domain. The entry tier, Opening Day, takes 2% of each online card booking, which adds up quickly on a high-priced elk hunt, so most big game outfits will look hard at Full Draw, where the booking fee drops to zero.

Full Draw brings in the marketing team: search rankings for your area, managed Google and Meta campaigns, visibility in AI answers, fresh content each month and Google Business Profile management, all built around searches such as guided elk hunts. Trophy Class hands the whole thing to a dedicated strategist, including social media and a 25-page website. Whatever you spend on ads is billed to you by Google and Meta, with no markup from us.

Questions

What big game outfitters ask us

Can I take a deposit a year before the hunt?

Yes. The deposit is collected at booking, however far out the hunt is, and the balance invoice goes out automatically before the hunt date. Overdue balances get an automatic reminder.

Can hunters book lodging and meals with the hunt?

Yes. Rooms or cabins are picked as part of the booking, with nightly capacity so nothing double-books, and meals or extra nights can be sold as add-ons priced into the total.

Can I track capes, meat and mounts after the hunt?

Yes. The processing tracker follows each item through processing, and the hunter checks progress on a status page and gets a message as it moves along, which saves you a lot of calls in the off-season.

Is big game outfitter software worth it if I only run a few camps a season?

It depends on the size of your deposits more than the number of hunts. A handful of camps can still mean large deposits to collect, tags to track and waivers to collect. If all of that already runs smoothly on paper, you may not need it.

Can my guides use it without seeing the money?

Yes. Guides and staff get their own logins. Money stays visible to owners and managers only; guides see their hunts, their hunters and Camp Chat, so the crew stays off a dozen group texts.

How does switching from a spreadsheet work?

Our team does the setup with you. We import your client list, build the packages, waivers and payment rules, and run a call that walks through your own hunts. Request a call a few months before your season if you can.

Will the marketing target hunters for my state and species?

Yes, from the Full Draw tier up. Our marketing team builds local SEO, AI search content and Google and Meta campaigns around the species, units and states you hunt, aimed at hunters searching for a guided hunt rather than general hunting news.
