The hard parts of the job, handled for fly fishing outfitters

Generic booking tools treat a guided trip like a kayak rental. Here are the parts of the job they get wrong for fly fishing outfitters, and how HuntReserve handles each one.

Guides, boats and two anglers a boat

Trip types with their own times and daily limits, and a guide assigned to every party.

Flows change the plan

River levels from nearby USGS gauges and the forecast on your dashboard every morning.

Waivers before the put-in

Each angler registers and signs from their phone, with a parent or guardian co-signing for kids.

Repeat anglers are the business

Reviews after every trip, catch photos, reminders and a waitlist that refills cancelled dates.

How it works

How a booking works for fly fishing outfitters

From the first search to the review after the trip, here's what you and your anglers actually do.

app.huntreserve.com
Booking page with hunts and prices

1. They find you and book

Anglers land on your website from Google, AI search or an ad, pick a trip, a date and party size, and pay a deposit to your Stripe. For private trips you approve them first and they book with a one-time code.

Check-In Board showing each party's progress

2. Every angler gets ready on their own

The person who booked shares a link with the party. Each angler registers, signs your waiver (with a parent co-signing for kids) and uploads an ID or license if you require one, which is read and checked against their name. The Check-In Board shows who is still missing something, with one-click reminders.

Invoices with deposits and balances

3. The money collects itself

Balances are invoiced automatically before the trip, with reminders if they're late. If you turn it on, each angler pays their own share. Payments, refunds and expenses flow into QuickBooks.

Base Camp dashboard with today's hunts and weather

4. Trip day and after

Base Camp shows today's parties, the weather and river levels. Camp Mode signs late paperwork with no signal. After the hunt, log the harvest, file tag reports, track processing, and collect each hunter's feedback and photos.

Buyer's guide

A fly shop's guide book is a puzzle: a set number of guides, trips that hinge on the flows, and clients who come back every year and expect you to remember them. Here's how that puzzle works in software.

Who is fly fishing outfitter software for?

Fly fishing outfitter software is for fly shops that run a guide service, independent guides with a drift boat or two, outfitters with a crew of contract guides on permitted water, and saltwater flats guides. The common thread: you sell guided full days, half-days and multi-day trips, and each one needs a guide, a date and anglers who have paid and signed.

It isn't a retail register. HuntReserve doesn't ring up flies and tippet at the counter; it runs the guide side of the shop, the website and the marketing. Gear tracking with low-stock alerts helps with rental rods and waders, but keep your point-of-sale system for retail.

How does a guided day run from booking to the takeout?

Here's one float, start to finish, the way it runs in HuntReserve:

  • Booking: the client picks a full-day float or a half-day wade trip, a date and the number of anglers, and pays a deposit into your Stripe. Each trip type stops taking bookings when that day's limit is reached.
  • Before the trip: you assign a guide to the party. Reminders have already sent what to bring, the meeting spot and the day-before message, by email and text.
  • Morning of: Base Camp shows today's trips next to flows from the nearest USGS gauges, the forecast, wind and pressure trend.
  • At the put-in: anyone who skipped the waiver signs in Camp Mode on a tablet, with no signal needed.
  • After the takeout: the client rates the day and uploads catch photos. You see every rating, and the best photos can go on your Trophy Wall with the angler's permission.

Why do river levels belong in fly fishing outfitter software?

Flows decide whether tomorrow's float is on, which stretch you run and what you tell clients the night before. HuntReserve pulls levels from the closest USGS water data gauges and puts them beside the hourly and 16-day forecast, wind direction and gusts, barometric trend, sunrise, sunset and moon phase, with the source shown for each.

It's a planning view on the same screen as the day's bookings, not a substitute for your own read of the river. When a blowout is coming, message the affected parties from their bookings, then refund through Stripe or rebook under your own policy. Dates that open up go to the waitlist, and the next angler in line gets 24 hours to claim them.

How should guides, trip types and add-ons be set up?

Make each trip you sell its own trip type: full-day float, half-day wade, a beginner lesson, a multi-day trip with lodging. Each one carries its own times, price, deposit and a daily limit matched to your guide count, so the booking page closes before you're overbooked. Price a float per boat or per angler, whichever matches how you sell it.

Put a guide on every party. Guides log in to see their own trips; owners and managers see the money. Log guide pay as an expense and it lands in your monthly profit and loss. Add-ons cover the rest of the ticket: rod and wader rentals, lunch, a shuttle, a second day.

Guiding commercially on national forest rivers generally takes a special-use permit from the Forest Service. HuntReserve keeps your clients, trips and payments in order; the permit and its reporting stay with you.

How does fly fishing outfitter software keep repeat anglers coming back?

Repeat clients are most of a good guide's book, so rebooking should take a link, not a phone call. Clients log in to see their past trips, documents and photos. A feedback request after each trip sends happy anglers to your Google listing and brings unhappy ones to you privately first.

When a prime week in the hatch opens up, the waitlist offers it to the next angler, and Open Spots sends a last-minute date to your approved client list and tells you who booked from it. Shops with a club or season program can keep members, dues and a running ledger beside their guided trips.

Will the system talk like a fly shop, not a hunting camp?

That's what the business-type setup is for, and it's coming soon. Pick fly fishing as your business type and the menu reads trips, anglers and a catch log, with the hunting modules (tags, harvest reports, the kennel, processing) hidden.

Until it ships, HuntReserve already runs fly trips well, but some built-in labels still say hunt and hunter, and you simply ignore the hunting tools you don't use. Anything clients see, from your trip names to the waiver text, is written your way from day one.

How much does fly fishing outfitter software cost?

HuntReserve charges one flat monthly fee, and the prices are published. Each package includes every booking feature and a site on your own domain; the difference is the marketing.

PackageMonthlyBooking feeMarketing
Opening Day$1592% on online card bookings5-page website, tracking and a monthly report
Full Draw$3290%Local SEO, Google and Meta ads, AI search, monthly content, Google Business Profile management, 10-page website
Trophy Class$8990%Done for you: full ads, social media, a dedicated strategist, 25-page website

Stripe's standard card rate applies, paid through your Stripe account, and anglers can cover it if you like. Ad spend is paid straight to Google and Meta. On the two higher packages, the HuntIQ marketing team works the searches anglers use for guides on your rivers. Saltwater and charter operators should also see fishing charter booking software, and lodges the fishing lodge software page.

Questions

What fly shops and guides ask us

Which software is best for a fly fishing guide service?

The best software for a guide service books trips by type and date, assigns guides, takes deposits and waivers from every angler, and shows the flows each morning. HuntReserve does all of that in the phone's browser, adds a website on your domain, and offers marketing help on Full Draw and Trophy Class.

Can clients book a guided float online?

Yes. Clients pick the trip type, date and number of anglers on your booking page or a Book button on your own site, pay a deposit and get a link to share with the rest of the party. You assign the guide; the balance invoices itself before the trip.

Does it show river flows and the forecast?

Yes. Each morning, Base Camp shows levels from the nearest USGS gauges with the hourly and 16-day forecast, wind, pressure trend, sunrise and sunset. It's a planning view; the call on whether to float stays with you and your guides.

Does every angler sign the waiver?

You choose which documents each trip requires. With a waiver turned on, each angler in the party registers and signs from their phone, kids sign with a parent or guardian co-signing, and the Check-In Board shows who's still missing something.

Will HuntReserve say hunt everywhere if I only fish?

Some built-in labels still say hunt and hunter today. A fly fishing business-type setup is coming soon: an angler-focused menu with trips, anglers and a catch log, and the hunting modules hidden. Your trip names, descriptions and waiver are your own either way.

Can I keep my fly shop's website?

Yes. Add a Book button to the site you have, or embed the booking page inside it. If you'd rather have a new one, every plan comes with a site on your domain, built by our marketing team.

Is there a booking fee?

Opening Day ($159 a month) has a 2% booking fee on online card bookings. Full Draw at $329 and Trophy Class at $899 have none. Stripe's standard processing rate still applies on every plan, and anglers can cover it if you prefer.

How do I get started before the season?

Ask for a call through the contact page. We walk through your own trips in HuntReserve, build your trip types, guides, waivers and deposits, connect Stripe, and import your client list so repeat anglers can rebook right away.
