The short answer

What is hunting club management software?

Hunting club management software keeps a club or lease organized: the member roster, dues and balances, guest paperwork, property maps and who is hunting which day. HuntReserve, with a marketing team built in, does that for clubs and adds what ranches and preserves need: species price lists, trophy fees, lodging and online booking.

Built for how you run

The hard parts of the job, handled for ranches, preserves and clubs

Members and dues

Memberships, dues and a running ledger for every member.

Exotic species price lists

Packages per species with trophy fees as add-ons.

Who's on the property

Every hunter registered, signed and licensed before they arrive.

Guests of members

Guests register and sign their own waivers through a link.

How it works

How a booking works for ranches, preserves and clubs

From the first search to the review after the hunt, here's what you and your hunters actually do.

app.huntreserve.com
Booking page with hunts and prices

1. They find you and book

Hunters land on your website from Google, AI search or an ad, pick a hunt, a date and party size, and pay a deposit to your Stripe. For private hunts you approve them first and they book with a one-time code.

Check-In Board showing each party's progress

2. Every hunter gets ready on their own

The lead hunter shares a link with the party. Each hunter registers, signs your waiver (with a parent co-signing for kids) and uploads their license, which is read and checked against their name. The Check-In Board shows who is still missing something, with one-click reminders.

Invoices with deposits and balances

3. The money collects itself

Balances are invoiced automatically before the hunt, with reminders if they're late. If you turn it on, each hunter pays their own share. Payments, refunds and expenses flow into QuickBooks.

4. Hunt day and after

Base Camp shows today's parties, the weather and river levels. Camp Mode signs late paperwork with no signal. After the hunt, log the harvest, file tag reports, track processing, and collect each hunter's feedback and photos.

Buyer's guide

A club, a lease and an exotic ranch look different from the road, but they share the same office problems: who belongs, who paid, who's on the property and whether everyone signed. Here's what to look for.

What should hunting club management software do?

The best software for club management keeps the roster, the money and the paperwork in one place, so the club secretary isn't the only person who knows who paid. Everything else is a bonus.

In practice that means a few specific jobs, and good hunting club management software handles each one without a spreadsheet on the side.

  • A member roster where each member carries a running ledger of dues and charges.
  • Payments recorded however they arrive: card through the club's own Stripe account, or cash, check, Venmo and Zelle logged by hand.
  • A link that lets a member's guest register, sign the waiver and upload a license before the hunt.
  • A property map with fields, blinds and stands drawn on it, and harvests pinned where they happened.
  • A harvest log that turns into season totals the board can actually read.
  • Text and email to members from their record, plus a hunter portal for each member's own hunts and paperwork.

What are some good apps for hunting clubs?

A good app for a hunting club is one that covers your whole year, not just opening morning. Many club apps do a single job well, like a shared map or a stand sign-in board. That works until the club also needs dues tracked, guests signed and a treasurer who can close the books.

Before you pick one, ask four questions. Does every guest sign a waiver before arriving, including kids? Can the treasurer see each member's balance without asking around? Does card money land in the club's own account? Does it work at the gate with no signal?

HuntReserve answers yes to all four, and it opens in any phone's web browser, so members have nothing to install. If your club only wants stand check-in and nothing else, a single-purpose app may be all you need. HuntReserve is for clubs that want the members, the money and the paperwork handled together. Whatever you choose, hunting club management software should make life easier for the volunteers who actually run the club, not add another login they ignore.

How do dues and a member ledger work?

Every member gets a ledger that shows what they owe and what they've paid, season after season. Dues go on the ledger, and each payment is recorded against it, whether it came by card or a check handed over at the work day.

Card payments settle in the club's Stripe account, at Stripe's usual card rate. Customers, invoices, payments and refunds then flow into QuickBooks Online on their own, which makes the treasurer's year-end report a lot shorter.

Clubs and leases have real costs too. Log the lease payment, feed, seed, fuel and gate repairs as expenses, and HuntReserve shows profit and loss by month. That's the number members ask about when dues go up. It's also where hunting club management software earns its keep: the ledger, the bank deposits and the books agree without a special meeting.

How do guests register and sign before they hunt?

Each guest gets a link before the hunt. They enter their own details, sign the club's waiver on screen and upload their license from their phone, so nobody is signing paper on a truck hood at dawn.

The license photo is read by AI and the name is checked against the waiver signature. Unreadable photos, wrong-side uploads and expired licenses get flagged before the guest arrives. For a guest who's a minor, a parent or guardian adds a signature to the same form.

  • The Check-In Board lists every guest's progress (registered, signed, license on file, paid) and lets you nudge stragglers with one click.
  • The Hunt Calendar shows every booked hunt by day, so you know who is expected on the property.
  • A daily limit per hunt type caps how many people can book a given day.
  • At a gate with no bars, Camp Mode still takes signatures and license photos and uploads them once you're back in coverage.

What do hunting ranches and preserves need beyond club tools?

Ranches and preserves sell hunts to the public, so they need a storefront on top of the roster. In HuntReserve each species is set up as a separate package carrying its own price, deposit and inclusions, whether that's axis, blackbuck, fallow or hogs. Trophy fees are add-ons, added after the animal is down, and the balance invoice updates by itself.

For high-end hunts, approve-before-book lets you vet hunters first; each hunter you approve receives a single-use booking code. Lodging books with the hunt, and the processing tracker follows meat, hides and mounts with a status page hunters can check.

Rules on exotics, preserves and high-fence hunting vary by state. In Texas, start with Texas Parks and Wildlife's hunting pages, and keep your own tags and harvests in the tag register so the records are ready when you need them.

How much does hunting club management software cost?

HuntReserve is one flat monthly package, and you pick the level of marketing help you want on top of the software. Every package includes all of the features above and a website on your own domain.

PackageMonthlyBooking feeBest fit
Opening Day$1592% on online card bookingsMembers-only clubs and leases that mainly need the office handled; 5-page website
Full Draw$3290%Preserves and ranches that sell to the public: local SEO, Google and Meta ads, AI search, 10-page website
Trophy Class$8990%Larger ranches that want it all done for them: full ads, social, a strategist, 25-page website

Ad budgets are paid to Google and Meta directly, and Stripe's card fee is yours to absorb or pass on. A ranch that wants to show up for searches like hunting preserves near me is the reason Full Draw exists. See how other kinds of outfits use it from the hunting outfitter software hub, or see how lodge-heavy operations use it on the hunting lodge page.

Questions

What clubs, ranches and preserves ask us

Can members and paying day hunters use the same system?

Yes. Memberships, dues and member ledgers live alongside your day hunts and packages. A preserve can sell season memberships to regulars and guided hunts to the public without running two systems or two sets of waivers.

Is HuntReserve a stand reservation app?

Not by itself. Stands are drawn on the property map with harvests pinned where they happened, and hunts book by day with a daily limit. If a club only wants members claiming stands each morning, a single-purpose app may fit. HuntReserve fits clubs that also handle dues, guests and waivers.

Do club members have to download an app?

No. HuntReserve runs in the phone's browser. Members open a link to sign, pay or check the hunter portal, where they can pull up upcoming hunts, signed documents and harvest photos. There's nothing to install.

Can I price each exotic species differently?

Yes. Give each species its own package with a price, deposit and what's included, then add trophy fees as add-ons once the animal is on the ground. The hunter's remaining balance is re-invoiced with a pay link.

How does our treasurer keep the books?

Card payments land in the club's Stripe account, and cash, checks, Venmo and Zelle are recorded by hand. Everything syncs to QuickBooks Online, and expenses like the lease payment and feed roll into a monthly profit and loss report.

Does it work on a lease with no cell service?

Yes for the paperwork. Load Camp Mode on a tablet while you still have a connection. After that, guests can sign and snap their licenses at the gate without service, and the files upload when the tablet reconnects.

How do we move our club over?

Fill out the contact form and we'll phone you, show you HuntReserve with your own club or ranch loaded in, and build out your memberships, waivers, packages and payments. Most clubs start fresh at the next dues cycle.
