The short answer

What is pheasant preserve software?

Pheasant preserve software books upland hunts and bills released birds, guides, dogs, rooms and meals on one invoice, with waivers and licenses collected before arrival. HuntReserve is booking, waiver, payment and marketing software for hunting outfitters, guides, lodges and fishing charters, with a marketing team built in, and it serves quail plantations the same way.

Built for how you run

The hard parts of the job, handled for plantations and preserves

Generic booking tools treat a hunt like a kayak rental. Here are the parts of the job they get wrong for plantations and preserves, and how HuntReserve handles each one.

Birds released and birds billed

Sell extra birds as add-ons and bill them on the same invoice.

Guides, dogs and lodging

Assign guides, book rooms and add meals to each party's stay.

Corporate groups

One organizer, many guests: each guest registers and signs their own waiver.

Members and repeat guests

Memberships and a customer history so regulars feel known.

How it works

How a booking works for plantations and preserves

From the first search to the review after the hunt, here's what you and your hunters actually do.

app.huntreserve.com
Booking page with hunts and prices

1. They find you and book

Hunters land on your website from Google, AI search or an ad, pick a hunt, a date and party size, and pay a deposit to your Stripe. For private hunts you approve them first and they book with a one-time code.

app.huntreserve.com
Check-In Board showing each party's progress

2. Every hunter gets ready on their own

The lead hunter shares a link with the party. Each hunter registers, signs your waiver (with a parent co-signing for kids) and uploads their license, which is read and checked against their name. The Check-In Board shows who is still missing something, with one-click reminders.

Invoices with deposits and balances

3. The money collects itself

Balances are invoiced automatically before the hunt, with reminders if they're late. If you turn it on, each hunter pays their own share. Payments, refunds and expenses flow into QuickBooks.

Base Camp dashboard with today's hunts and weather

4. Hunt day and after

Base Camp shows today's parties, the weather and river levels. Camp Mode signs late paperwork with no signal. After the hunt, log the harvest, file tag reports, track processing, and collect each hunter's feedback and photos.

Buyer's guide

How booking software should handle released birds, guides and dogs, lodging, corporate days and members at a preserve or plantation, and what it costs.

What should pheasant preserve software handle?

It should handle the hunt the way a preserve sells it: a base hunt, a number of birds, a guide and a dog, maybe a room and dinner, and extra birds when the group wants more. Generic tour-booking tools sell a seat at a time and leave everything else to a notebook.

Quail plantations work the same way with a different rhythm: longer days, mule-drawn wagons or trucks, bird dogs on rotation and guests who stay the night. One booking should carry all of it, so the invoice is right the first time and the guide knows who is coming.

  • Packages priced per hunter, per day or flat, with the birds included spelled out
  • Extra birds, guide fees, meals and rooms added to that same booking as add-ons
  • Daily capacity per hunt type, so a field or course never takes more guns than it should
  • Signed waivers and license photos from each guest before they pull through the gate
  • Members, dues and a running ledger next to the day hunts
  • Payments in your own Stripe and QuickBooks Online sync for your accountant

How do you bill released birds with pheasant preserve software?

You sell birds as add-ons. Set up each hunt with what it includes, say a half-day with a set number of birds, then add extra birds as an add-on with its own price. Guests can pick extras when they book, or you add them after the hunt and the balance invoice updates on its own.

That ends the end-of-day math on the back of a scorecard. The group sees what they ordered, the extra birds land on the same invoice as the hunt, and the card payment goes into your own Stripe. Cash, check, Venmo and Zelle can be recorded too, so a guest who settles up at the clubhouse still shows as paid.

Expenses track the other side of the ledger. Log bird purchases, feed and guide pay, and the profit and loss report shows each month and each hunt type, so you can see whether a package priced two seasons ago still makes sense.

Can it schedule guides, dogs and lodging?

Yes. Guides and staff each get their own login with the right access: owners and managers see money, guides see their hunts. The Hunt Calendar shows every hunt by day against its daily limit, so you can tell at a glance whether Saturday needs another guide.

The kennel keeps a profile for each dog and logs every retrieve, with a season tally per dog, which helps when you rotate pointers and retrievers across a long season. Lodging works alongside the hunt: list each cabin or room with its beds and nightly rate, and guests choose their nights while booking. The occupancy grid shows which rooms are full, and full nights can't be double-booked.

How does it handle corporate groups?

One organizer books, and every guest takes care of their own paperwork. The organizer shares a link; every guest enters their own details, signs and adds a license photo. A guest under 18 gets a guardian's co-signature on that form.

The Check-In Board shows the whole party at once: who has registered, signed, uploaded a license and paid, with a one-click reminder for anyone behind. If the company pays, the invoice goes to the organizer. If guests pay their own way, turn on per-hunter payment links. For private corporate days you can approve the group first, and they book with a one-time code so nobody else grabs the date.

Rules for shooting preserves are set by each state, including licensing and release rules. South Dakota's shooting preserve program is one example of how a state runs it, so check your own agency for the rules that apply to you.

What does a hunt day look like with pheasant preserve software?

It starts with a board, not a clipboard. Base Camp opens on today's parties, the weather and anything that needs you, and the Check-In Board shows which guests have signed and paid before the first truck arrives.

Property maps hold your fields, courses and blinds, so a guide can see where each party is set to hunt and log birds where they fell. Gear tracking covers shells, feed and other supplies with low-stock alerts, which beats finding out on a Saturday morning that the shell cabinet is empty. When the party heads in, the Harvest Log records birds by guide and field, and season totals and birds per hunter build up without anyone keeping a tally sheet. Good pheasant preserve software turns the day's chaos into a record you can price next season from.

Can members and day hunters share one system?

Yes. Memberships, dues and a running ledger sit next to your day hunts, so a member's season and a corporate group's Friday live in the same calendar. Members log in to the hunter portal to see their hunts, documents and harvest photos.

Repeat guests are the heart of a preserve. Each one has a full history of hunts and payments, automatic messages handle balance reminders, paperwork nudges, packing lists and the night-before note, and after the hunt guests rate it privately and share their photos, so the feedback comes to you first. Pheasant preserve software should make a regular feel known, not make them fill in the same form every fall.

What does pheasant preserve software cost?

HuntReserve costs $159, $329 or $899 a month, and all three tiers carry the whole platform plus a website on your domain. Only Opening Day adds a booking fee, 2% on online card payments; the two higher tiers charge 0%.

What changes between packages is the marketing. Full Draw adds local SEO, Google and Meta ads management, AI search visibility, monthly content and a Google Business Profile management. Trophy Class does it all for you, with social media and a dedicated strategist. Stripe's usual card rate applies in your account, and any ad budget is billed by Google and Meta themselves.

If you also run a lodge or a big hunting property, see how HuntReserve handles hunting lodge reservations or ranches, preserves and clubs. Every feature is listed on the features page.

Questions

What preserves and plantations ask us

Can guests add extra birds after the hunt?

Yes. Put the extra birds on the booking as an add-on and the balance invoice adjusts. The guest gets an emailed pay link, or you mark it paid by cash or check if they settle up at the clubhouse.

Is there pheasant preserve software that also works for quail plantations?

HuntReserve works for both. Packages, add-ons, lodging, guides, the kennel and memberships fit a pheasant preserve's half-day hunts and a plantation's overnight quail hunts alike. You set the prices, what's included and how many guns each hunt takes per day.

Do I need to keep a separate system for members?

No. Memberships, dues and a member ledger live alongside your day hunts and corporate bookings. Members log in to see their hunts and documents, and you see dues and balances on the same screen as everything else.

Does HuntReserve replace our website?

Only if you want it to. A Book button or embedded booking page works on the site you run today. A new site on your domain is part of every package, ready for when the old one needs retiring.

What if our clubhouse has poor cell service?

Camp Mode keeps check-in moving. Set up a tablet while it's connected; after that it takes signatures, guardian approvals and license photos with no signal and syncs them later.

How do we switch from paper or another booking tool?

Our team handles setup with you: customers imported, hunts and add-ons built, waivers and rooms loaded, then a walkthrough on a call using your real bookings. Get started before your release schedule is set for the season.

Does the software come with marketing?

From Full Draw up, yes. HuntReserve's marketing partner, a national agency that knows the outdoor industry, works local SEO, AI search, Google and Meta ads and Google reviews around what upland hunters in your region type into search. Opening Day covers the website, tracking and a monthly report.
