The short answer

What is fishing lodge software?

Fishing lodge software books a guest's room, fishing days, guide and meals as one reservation, collects the deposit and balance, and gets every angler's waiver signed before arrival. HuntReserve is booking, waiver, payment and marketing software for hunting outfitters, guides, lodges and fishing charters, with a marketing team built in.

How it works

How a booking works for fishing lodges

From the first search to the review after the trip, here's what you and your anglers actually do.

app.huntreserve.com
Booking page with hunts and prices

1. They find you and book

Anglers land on your website from Google, AI search or an ad, pick a trip, a date and party size, and pay a deposit to your Stripe. For private trips you approve them first and they book with a one-time code.

Check-In Board showing each party's progress

2. Every angler gets ready on their own

The person who booked shares a link with the party. Each angler registers, signs your waiver (with a parent co-signing for kids) and uploads an ID or license if you require one, which is read and checked against their name. The Check-In Board shows who is still missing something, with one-click reminders.

3. The money collects itself

Balances are invoiced automatically before the trip, with reminders if they're late. If you turn it on, each angler pays their own share. Payments, refunds and expenses flow into QuickBooks.

4. Trip day and after

Base Camp shows today's parties, the weather and river levels. Camp Mode signs late paperwork with no signal. After the hunt, log the harvest, file tag reports, track processing, and collect each hunter's feedback and photos.

Buyer's guide

A fishing lodge is a small hotel, a kitchen and a guide service that all need the same head count every morning. These are the questions lodge owners and managers ask us, answered plainly.

Who is fishing lodge software for?

Fishing lodge software is for any place where guests sleep on site and fish with your guides: a drive-in walleye camp, a fly-in lodge in Alaska or Canada, a saltwater flats lodge, a river lodge with its own drift boats, or a resort that keeps a few guides on staff. If rooms and fishing days are sold together, they belong on one reservation.

It's the wrong tool if you rent cabins with no guiding at all; a vacation-rental calendar is simpler. And if most of your business is day trips off a dock, our fishing charter booking software page covers seats per boat and half-day trips in more depth.

How does a week at a fishing lodge run in fishing lodge software?

Picture a Saturday-to-Saturday week. Months earlier the party booked a package, paid a deposit, picked rooms and added extras. Ten days out, the balance invoice went out on its own, and reminders nudged anyone who still hadn't signed the waiver from their phone. Here's the week itself:

  • Arrival day: the Check-In Board shows who has signed and paid. Late paperwork gets signed on a tablet in Camp Mode, even when the lodge has no signal.
  • Each morning: Base Camp shows today's parties, the forecast, wind and water levels from nearby USGS gauges. You assign a guide to each party; boat and vessel assignment is coming soon.
  • In the kitchen: dietary and allergy notes with a kitchen meal-count report are coming soon. For now, meals are priced into the package or sold as add-ons.
  • Mid-week: an extra guided day or fish processing goes on the booking as an add-on and the invoice updates. Incidental charges such as a bar tab or a charter flight are coming soon.
  • Departure: the balance settles, a feedback request goes out, and anglers upload their catch photos.

Trip itineraries inside the booking confirmation are coming soon too, so guests can see meeting times and the plan for each day before they leave home. Saltwater lodges can point guests to NOAA Fisheries on recreational fishing for federal rules; state and provincial agencies handle inland waters.

What should fishing lodge software do with rooms and beds?

It should sell nights and beds the way it sells fishing days, and refuse to sell a night that's already full. In HuntReserve each cabin or room is a unit with how many it sleeps and a nightly price. Guests pick a cabin and their dates while booking, the lodging lands in the same total, and the occupancy grid shows every bed for the season on one screen.

Lodges that sell fixed weeks build a package per week (four nights and three guided days, for example), while lodges that sell by the night let guests pick dates. Either way a full night can't be booked twice, and a cancelled week goes to the waitlist with a 24-hour claim link.

How do packages, deposits and repeat guests work?

Most lodge revenue comes from packages booked far ahead, often by the same anglers who came last year. Give each package its own price and deposit. The balance is invoiced automatically before arrival with a pay link, overdue balances get a reminder, and the money lands in your own Stripe account. Payments, refunds and expenses sync to QuickBooks Online.

For a corporate group, turn on per-person payment links so the organizer isn't covering eight guests. Returning anglers can log in to see past trips and documents. Lodges with a members' program can run memberships, dues and a running ledger, and Open Spots pushes a last-minute opening to your approved guests and shows who booked from it.

What lodge features are coming soon?

Six features for lodges are being built now. Everything above is live today; these are coming soon and will fill in the rest of the week:

  • Boat and vessel assignment, matching each party to a boat and a guide for the day.
  • Dietary and allergy notes on every guest, rolled into a kitchen meal-count report.
  • Trip itineraries inside the booking confirmation.
  • Incidental charges, such as a bar tab or a charter flight, posted to the guest's invoice.
  • Guide pay reports built from the trips each guide ran.
  • Staff credential tracking for the licenses and certifications your crew carries.

Until guide pay reports arrive, guide pay can be logged as an expense, and it shows in the monthly and per-trip profit and loss. If one of these matters for your season, bring it up when we talk and we'll show you where it stands.

Fishing lodge software or a hotel system?

A hotel property management system is built around rooms, rates and housekeeping. It doesn't know a guide from a guest, can't collect a waiver from each angler, and has nothing to say about water levels or catch photos. Fishing lodge software has to carry both halves of the business, and HuntReserve doesn't try to be a full hotel back office.

Where it leans is the fishing side and the marketing: a website on your own domain, waivers for every guest, Camp Mode, post-trip feedback and photos, and a marketing team on the higher packages. If you're weighing a lodge-and-guide system, see HuntReserve and LodgeRunner side by side. Lodges that also run hunts should read the hunting lodge reservation software page.

How much does fishing lodge software cost?

HuntReserve is a flat monthly fee with published prices. Every package includes the whole platform and a website on your own domain; what changes is how much marketing comes with it.

Questions

What lodge owners ask us

What is the best software for a fishing lodge?

The best software for a fishing lodge books rooms and guided days together, collects deposits and balances without chasing, and gets each guest's waiver signed before arrival. HuntReserve does that and adds a website and an optional marketing team. If you rent cabins with no guiding, a vacation-rental tool is simpler.

Can guests book a cabin and guided fishing days in one checkout?

Yes. Switch lodging on for a package, and anglers choose a cabin or room and their nights while booking. Nights, guided days and add-ons land in one total with one deposit, and the occupancy grid keeps a full night from selling twice.

Does fishing lodge software work at a remote fly-in lodge?

Mostly, yes. HuntReserve runs in a web browser, so the office needs some connection to sync. Camp Mode on a tablet captures waivers and ID photos with no signal and uploads them later. Guests sign and pay from home long before the floatplane lands.

Can I track guest allergies and meal counts?

Coming soon. Dietary and allergy notes on each guest, with a kitchen meal-count report, are being built now. Today you can price meals into a package or sell them as add-ons, message guests from their record and keep the crew updated in Camp Chat.

Can I put a bar tab or charter flight on the guest's bill?

Incidental charges like a bar tab or charter flight on the invoice are coming soon. Today, anything you can price ahead (a flight, fish processing, an extra guided day) works as an add-on, and the balance invoice updates. Cash, check, Venmo and Zelle payments can be recorded too.

How do repeat anglers rebook the same week next year?

Send them the booking link for that week's package and take the deposit; the balance invoices itself before arrival. If the week is full they join the waitlist, and a cancellation offers them the spot with a 24-hour claim link. Their earlier trips stay on their record.

Is marketing included?

Every package includes a website on your own domain. Full Draw ($329) and Trophy Class ($899) add HuntIQ: local SEO, Google and Meta ads, AI search and a Google Business Profile management aimed at anglers searching for lodges like yours. Ad spend goes to Google and Meta directly.

How do I move my lodge to HuntReserve?

Request a call on the contact page. We'll walk through HuntReserve loaded with your own rooms and packages, import your guest list, and build your units, packages, waivers, deposits and Stripe connection with you.
