The short answer

What is alligator hunting guide software?

Alligator hunting guide software books night hunts, collects deposits, waivers and licenses, and keeps a register of every CITES tag through harvest and processing. HuntReserve is booking, waiver, payment and marketing software for hunting outfitters, guides, lodges and fishing charters, with a marketing team built in, and it pre-fills the state harvest report for you to submit.

The hard parts of the job, handled for alligator guides

Generic booking tools treat a hunt like a kayak rental. Here are the parts of the job they get wrong for alligator guides, and how HuntReserve handles each one.

Tags, permits and paperwork

A tag register for your tags and your clients' tags, tied to each harvest, with the state report pre-filled and a countdown to the deadline.

Night hunts and a short season

Time slots per hunt, daily capacity and reminders that tell hunters exactly when and where to meet the boat.

Client tags vs. your tags

Packages priced for client-tag and outfitter-tag hunts, with trophy-size upgrades sold as add-ons.

Processing after the hunt

Hides, meat and skulls tracked through processing, with a status page the hunter can check.

How it works

How a booking works for alligator guides

From the first search to the review after the hunt, here's what you and your hunters actually do.

app.huntreserve.com
Booking page with hunts and prices

1. They find you and book

Hunters land on your website from Google, AI search or an ad, pick a hunt, a date and party size, and pay a deposit to your Stripe. For private hunts you approve them first and they book with a one-time code.

app.huntreserve.com
Check-In Board showing each party's progress

2. Every hunter gets ready on their own

The lead hunter shares a link with the party. Each hunter registers, signs your waiver (with a parent co-signing for kids) and uploads their license, which is read and checked against their name. The Check-In Board shows who is still missing something, with one-click reminders.

Invoices with deposits and balances

3. The money collects itself

Balances are invoiced automatically before the hunt, with reminders if they're late. If you turn it on, each hunter pays their own share. Payments, refunds and expenses flow into QuickBooks.

Base Camp dashboard with today's hunts and weather

4. Hunt day and after

Base Camp shows today's parties, the weather and river levels. Camp Mode signs late paperwork with no signal. After the hunt, log the harvest, file tag reports, track processing, and collect each hunter's feedback and photos.

Buyer's guide

What a gator guide should expect from booking software, how tags and reports fit in, and what it costs. Season dates, legal hours and tag rules come from your state agency, so check them there.

What should alligator hunting guide software do?

It should run the whole hunt, not just take the booking. A gator hunt has more moving parts than most: a short season, hunts that start after dark, a boat that holds only so many people, tags that belong to either you or the client, a harvest report with a deadline, and a hide and meat that still need handling days later.

A tour-booking tool covers the first step and stops. Spreadsheets and paper waivers cover the rest until the busy weeks, when a missing signature or a tag number written on the wrong line turns into a late-night phone call. Good alligator hunting guide software keeps each of those pieces attached to the booking they belong to.

  • Night hunt slots with a cap on hunters per boat, and online booking that closes once a night fills
  • Deposits at booking and the balance invoiced automatically before hunt night
  • Paperwork from everyone in the boat: each hunter signs and sends a license photo from their phone
  • A tag register that marks each tag as outfitter-held or client-held and ties it to the harvest
  • A pre-filled harvest report with a deadline countdown
  • A processing tracker for hides, meat and skulls, with a status page for the hunter

How do night hunts and a short season change booking?

They make every slot count. When the season is a few weeks long and you can only take so many hunters per boat each night, one no-show or a double-booked boat costs you money you can't make back in November.

In HuntReserve each hunt type gets its own daily capacity, so a two-hunter boat and a four-hunter boat sell separately, and nobody can book a night that is already full. Sold-out nights collect a waitlist instead. When a party drops out, the open seat is offered to the next name in line, who has 24 hours to claim it, and you don't spend the afternoon dialing.

Hunters also need clear instructions for a hunt that starts in the dark. Automatic reminders send what to bring, where to meet the boat and a day-before message by email and text. Base Camp shows sunset, moon phase, wind and nearby river gauge levels from USGS, so you can plan the launch before anyone leaves the house.

How should software handle CITES tags, yours and your clients'?

Every tag should be logged once, marked as yours or the client's, and tied to the hunter and the harvest. Mixing the two up is the most common paperwork headache on a gator hunt, because the same boat may carry a hunter who drew their own permit and another hunting on a tag you hold.

The HuntReserve tag register keeps outfitter-held and client-held tags in one list. Assign a tag to a hunter when they book, and it shows as used when the harvest is logged. Pricing follows the same split: a client-tag hunt and an outfitter-tag hunt can be separate packages, with a trophy-size upgrade sold as an add-on.

Tag and permit rules differ by state. In Florida, the FWC alligator program sets the permits, CITES tag requirements and reporting rules. Louisiana's program runs through the Department of Wildlife and Fisheries. Your alligator hunting guide software tracks what you enter; the rules always come from the agency.

Does HuntReserve file alligator harvest reports?

No. HuntReserve pre-fills the report, and you submit it. Log the gator and the state report fills itself in from the hunt record, laid out to paste, with a timer counting down to the deadline. Entering it on the state's site takes a minute or two instead of a search through scribbled notes.

A Florida alligator report template is built in, alongside deer and turkey. That matters on a busy night: three boats come in with harvests, and the next morning every report is waiting, filled in, with the clock showing how long you have. The outfitter stays the one who submits, which is how the state expects it.

What happens to hides, meat and skulls after the hunt?

They go into the processing tracker, so nothing gets lost between the cooler and the hunter's doorstep. Each item is tracked through processing, and the hunter follows along on a status page, with a message going out whenever the hide or meat moves to its next stop.

This is where alligator hunting guide software earns its keep after the season ends: it cuts the calls asking whether the hide is back from the tanner yet. Processing, skull cleaning or meat packaging can also be sold as add-ons on the original booking, so the price is agreed before the hunt and the charge lands on the same invoice. Harvests feed the Harvest Log too, which builds season totals and success rates by guide on its own.

What does alligator hunting guide software cost?

HuntReserve costs $159 to $899 a month, and no tier holds features back: the full gator toolkit and a site on your own domain come with all three. What separates them is the marketing work and the 2% booking fee that applies only on the entry tier.

Card fees are whatever Stripe normally charges, settled in your Stripe account, and you decide if the hunter absorbs them. Stripe lists its current rates on its pricing page. Any ad budget goes straight to Google and Meta, not through us.

PackageMonthlyBooking feeMarketing
Opening Day$1592% on online card bookingsWebsite up to 5 pages, tracking, monthly report
Full Draw$3290%Local SEO, Google and Meta ads, AI search, content, reviews, 10-page website
Trophy Class$8990%Everything done for you, 25-page website, social, a dedicated strategist

Set that against a marketplace that takes a commission on every hunt, or a tour tool that tacks a fee onto each guest's checkout. With a monthly price, a full season of night hunts costs the same whether you book twenty parties or two hundred. See every feature, or how it fits a hog hunting outfit if you run both.

Questions

What gator guides ask us

Can each hunter on the boat pay their own share?

Yes. Turn on split payments and every hunter on the boat receives a separate payment link, so whoever booked isn't fronting the whole trip. One hunter can still cover the group if they'd rather settle it that way.

Do hunters sign the waiver before hunt night?

Yes. The lead hunter passes a link to the party, and each person fills in their details, e-signs your waiver and snaps a photo of their license. Minors need a parent or guardian co-signature, which happens on that same waiver, and the Check-In Board flags anyone still missing a step.

Does it work at the boat ramp with no signal?

Camp Mode does. Open it once on a tablet at the house, where there's Wi-Fi. Down at the launch it keeps taking late signatures, guardian co-signs and license pictures with no service, then pushes everything up when the tablet finds a signal again.

Is alligator hunting guide software worth it for a one-boat guide?

It pays off when the season is short and every slot counts. A single guide with one boat still deals with tags, reports, deposits and waivers, and Opening Day at $159 a month covers the full platform plus a website. If you run a handful of hunts a year, a paper system may be enough.

Do I have to replace my website?

No. Your current gator hunt site can carry a Book button, or the booking page can sit inside one of its pages. If the old site is tired, each package includes building you a fresh one on your domain.

How do I switch to HuntReserve mid-season?

We do the setup alongside you: customer import, hunts, packages, waivers and payment rules, then a walkthrough call built on your own hunt list. Request a call and say when your first night hunt is.

Is marketing part of it?

With Full Draw or Trophy Class it is. Our marketing partner, a national agency that specializes in getting local businesses found, runs your local search rankings, AI answers, paid ads on Google and Meta, and your Google Business Profile, all pointed at hunters looking for gator hunts. Opening Day includes your site, call and form tracking and a monthly report, with no ads managed.
